How to book an award by phone: step by step

Booking an award by phone means working with a frequent flyer programme's service centre to have an agent price and issue a miles or points redemption that you cannot finish online; United Airlines MileagePlus, for example, may ask for a password or other security measure before miles are redeemed over the phone. [9] Most of the work happens before you dial: confirming that reward space exists and what the published rules allow, then giving the agent the itinerary in a fixed order. [3] [9]

Facts checked: 18 October 2026

Key takeaways

  • Reward space decides the call. Qantas Classic Flight Rewards are subject to capacity controls, availability is limited, and some flights may not have any reward seats at all. [3] United sets the amount, structure, availability and process for award redemption and can change or withdraw them. [9]
  • Phone transactions can require credentials. United may ask for a password or other security measure for transactions conducted by phone, including redeeming miles, and it will not redeposit miles for redemptions made with a member's security credentials or password. [9]
  • Taxes and charges sit outside the miles. For Qantas Classic Flight Rewards, Qantas quotes the points required and the taxes, fees and carrier charges payable to Qantas at the time of booking; the charges are payable by an Accepted Payment Card and exclude amounts payable to third parties at the airport. [3] Award tickets on United may carry departure taxes, federal inspection fees, passenger facility charges and other charges, payable by the person using the ticket. [9]
  • Changing an award is a separate charge event. After an award ticket is issued, United may impose a service charge for each change or cancellation requested. [9]

What should you confirm before you call to book an award?

Start with the account itself. Qantas says you must be a Qantas Frequent Flyer member to earn and use Qantas Points, and that a joining fee may apply. [3] United's rules allow mileage redemption activity to be prohibited in an account, or suspended for a period of time after the account is opened, and United may prohibit award redemption for a member at its discretion or where the law requires it. [9]

Next, confirm that the seat exists. Qantas describes Classic Flight Rewards as capacity controlled with limited availability, and some flights may not have any of those reward seats available. [3] United establishes the amount, structure, availability and process for award redemption, all subject to modification, cancellation or limitation at its discretion with or without notice, and it may substantially change the miles needed, withdraw an award, or add restrictions at any time. [9] Verifying seats before you move points into a programme is a separate exercise, covered in checking award space before a points transfer.

Then decide whether the itinerary needs a call at all. Qantas points members to its multi-city booking tool, reached through "Book with Rewards", for the best view of reward options including stopovers, and suggests being flexible with dates and looking at partner airlines. [3] American Airlines is rolling out a cash-and-miles option for eligible AAdvantage members on aa.com and its app; when offered, after the trip insurance step a slider lets the member choose the cash/miles combination, the cost summary updates, and the member enters payment details to complete the booking. [6] American keeps a "Contact American" page in its help section. [1] Where an itinerary crosses several airlines, the routing options differ by channel, as set out in partner award booking channels.

How do you describe an award itinerary over the phone?

Give the details in a fixed order: who is flying, on which carriers, between which points, on which dates. United issues awards in the member's name, or in the name of and for the use of another person for non-commercial purposes only, and only after the member validates the account with a password or other security measure. [9] Name the operating carrier for every leg, because routing and destinations for award travel on airline partners are determined by the individual travel partners, and award tickets can carry the taxes, fees, tariffs, contract of carriage, ticket terms and re-accommodation policies of the carrier on which travel is scheduled. [9]

Be precise about destinations. United awards are valid only to destinations served both at the time the award ticket is issued and at the time of departure, and neither United nor its partners are liable for schedule changes that cancel service to a destination. [9] For multi-airline trips, Qantas describes oneworld Classic Flight Rewards as covering five or fewer cities with two or more oneworld airlines, and its multi-city tool as the way to search different stopover combinations. [3] A written checklist keeps the call on track; see the partner award booking checklist.

Stay inside the published rules when you describe what you want. United says a member who fails to comply with published award rules for air travel may be accommodated on a different flight, seated in a lower class of service, denied ticketing or boarding, or subject to other action, without compensation, and it treats misrepresentation of information furnished to United as prohibited conduct. [9]

What should you have ready when the agent answers?

Have the account credentials to hand. United may require a password or other security measure for transactions conducted by phone, including making reservations and redeeming miles, and says members are responsible for maintaining the confidentiality of those credentials. [9] United may also offer CoBrowse during a phone conversation, a support session in which the agent can see the united.com browser window and nothing else, with credit card numbers and passwords not visible to the agent. [9]

Have a payment card ready for everything that is not miles. For Qantas Classic Flight Rewards, Qantas takes the taxes, fees and carrier charges payable to Qantas on an Accepted Payment Card in addition to the points required; the charges exclude amounts payable to third parties at the airport, and the points and charges are quoted at the time of booking and subject to change. [3] Award tickets on United may be subject to departure taxes, federal inspection fees, passenger facility charges and other fees, charges or taxes, and the person using the award ticket is responsible for paying them. [9] Fees for the call itself are a separate question, covered in phone booking fee.

What should you record after the call?

Write down what was actually ticketed, leg by leg. United award tickets may be subject to the taxes, fees, tariffs, contract of carriage, ticket terms and re-accommodation policies of the carrier on which travel is scheduled, so the operating carrier for each flight belongs in your notes. [9] Note the change and cancellation position as well: United may impose a service charge for each change or cancellation requested after an award ticket is issued, and when an award is cancelled or returned the miles are redeposited subject to a service charge, with some awards not eligible for redeposit at all. [9]

Then check the numbers against your account. United says each member is responsible for knowing the rules and the mileage balance, and must notify United promptly of any error, such as an erroneous mileage balance. [9] If a booking goes wrong, United asks members to submit the concern through its customer care form and to allow 60 days for a substantive response before filing any lawsuit, arbitration or other proceeding. [9] Returning miles to an account after a cancelled award is a distinct step, explained under award reinstatement.

Exceptions and limits

  • This guide covers preparation and the call, and it promises no fee waiver. The charges that apply are the ones a programme publishes: United may impose a service charge for each change or cancellation requested after an award ticket is issued, and for Qantas Classic Flight Rewards, Qantas collects taxes, fees and carrier charges payable to Qantas in addition to points, excluding amounts payable to third parties at the airport. [9] [3]
  • Capacity, not persuasion, decides the answer: Qantas Classic Flight Rewards are capacity controlled, availability is limited, and some flights may have no reward seats at all. [3]
  • Upgrades follow their own rules. Qantas Classic Upgrade Rewards are not available from all fare types and are subject to capacity controls and limited availability. [3]
  • Account restrictions override availability. United may prohibit award redemption for a member at its discretion or where required by law, and where it suspects prohibited conduct it may delay or suspend all activity, including mileage redemption activity, while it investigates. [9]
  • Destinations can drop out after ticketing: United awards are valid only to destinations served both at issuance and at departure. [9]
  • Figures and rules move. Qantas states its Classic Flight Reward points and charges as accurate at 10 October 2025 and subject to change, [3] and the rules published on united.com are United's current rules and supersede prior or conflicting versions. [9] Local law can also restrict the programme in some non-U.S. countries. [9]
