FREQUENT FLYER GLOSSARY
What is a booking window?
A booking window is the period before departure in which an airline, hotel or loyalty programme will sell or accept a reservation, opening when inventory for a date goes on sale and closing at the cut-off after which no new booking, ticket or check-in is accepted. It matters because the same seat or room can be easy to secure months ahead and effectively unavailable a few hours before departure.

Key takeaways
- A booking window has two edges: how far ahead a date can be sold, and how close to departure a traveller can still book, check in or board. American Airlines counts its online check-in window in hours, opening it 24 hours before departure. [2]
- American puts an outer limit on a single ticket: an unused ticket must be used to start travel within one year of the date it was first issued. [2]
- United Airlines controls how much award space exists and may add blackout dates or limit award seats to any or all destinations. [6]
How does a booking window work?
Every sellable date has a front edge and a back edge. The front edge is set by how far into the future a provider has loaded schedules, rates and inventory for sale; the back edge is the point before departure at which sales, ticketing or acceptance stop. Between those two edges a reservation can be made, priced and confirmed.
The front edge varies by product, not only by company. A cash fare, an award seat, an upgrade and a hotel room can each be released on a different timetable, and a booking made near the front edge is a bet on a schedule that may still move. The back edge is usually counted in hours before departure and is tied to operational cut-offs such as check-in, bag acceptance and boarding.
Some deadlines that look like booking windows are really conditions attached to a booking. A ticket's validity, a fare's minimum-stay requirement and a refund right can all be measured from the date of purchase or the date of departure without changing when the sale itself opens or closes.
How far ahead can you book on one American Airlines ticket?
For long-range planning on American Airlines, the limit that matters is the life of the ticket rather than a count of days before departure. Under the conditions of carriage updated 13 August 2026, a ticket is generally valid for one year: if it is unused, travel must start within one year of the date the ticket was first issued. [2] American's own illustration is a ticket issued on 1 June 2025, whose travel must begin by 1 June 2026. [2] A partially used ticket must complete its remaining travel within one year of the first completed flight, so a round trip flown out on 1 March 2026 has to be finished by 1 March 2027. [2] These rules apply unless the ticket states otherwise. [2]
The booking itself can be made with cash or, for eligible AAdvantage members, with a cash-and-miles combination set on a slider at checkout after the trip insurance step when booking on aa.com or in the American app. [3] Whichever way the booking is paid for, the one-year clock runs from the date the ticket is issued. [2]
Fare rules can add date conditions of their own, such as a required Saturday-night or weekend stay, and a ticket that does not meet the dates of stay, purpose or status requirements of its fare is not valid. [2]
Booking near the front edge is not a promise about the schedule. American states that its flight schedule is not guaranteed and is not part of its contract, and that it is not liable if it changes the schedule of any flight or cancels a route. [2]
What changes in the last week before departure?
Close-in rules are where a booking window turns into a deadline. American's general right to a full refund when a trip is cancelled within 24 hours of purchase applies to tickets booked at least seven days before departure, and the trip must be cancelled within 24 hours of purchase. [2]
| Deadline | When |
|---|---|
| Online and app check-in opens | 24 hours before departure [2] |
| Latest check-in, flights within the U.S. | 45 minutes before scheduled departure [2] |
| Latest check-in, flights to or from airports outside the U.S. | 60 minutes before scheduled departure [2] |
| At the gate, domestic | 30 minutes before departure [2] |
| At the gate, international | 45 minutes before departure [2] |
| Boarding ends | 15 minutes before departure [2] |
Some airports require passengers to check in earlier. [2] Checked bags have a window of their own: bags can be checked only on the day of travel, and at Denver, Fort Lauderdale, Las Vegas, Orlando, Portland, Salt Lake City and Seattle they cannot be checked more than four hours before departure. [2]
Does United guarantee award space when you book early?
No fixed award calendar is promised. Under the MileagePlus rules, United sets the amount, structure, availability and other criteria for award redemption, and all of it can be modified, cancelled or limited at United's discretion, with or without notice. [6] The rules state that United may add an unlimited number of blackout dates or limit the number of award seats available to any or all destinations, and that members may not rely on an award or award level continuing to be available. [6]
An award ticket also carries a forward condition: awards for travel are valid only to destinations served both when the award ticket is issued and when the member departs, and neither United nor its partners are liable for schedule changes that cancel service to a destination. [6] Once an award ticket is issued, a service charge may apply to each change or cancellation the member requests. [6]
Exceptions and limits
- The ticket's own terms win. American's one-year validity rule applies unless the individual ticket states otherwise. [2]
- Refund rules vary by country. Some countries have different refund rules, and American follows those rules where they apply. [2]
- Early booking does not freeze the schedule. American does not guarantee its schedule and is not liable for schedule changes or route cancellations [2]; United award tickets are valid only to destinations served at both issue and departure. [6]
- Holding a place is not the same as booking. American lists holding reservations to secure upgrades, block seats or obtain lower fares among prohibited booking practices, and may cancel any unused part of a ticket bought that way. [2]
- The clock starts at purchase, not at departure. American's one-year limit runs from the date the ticket was first issued, or from the first completed flight for a partially used ticket. [2]
- Programme rules can change. United's MileagePlus rules allow United to change its rules, benefits and mileage levels at any time, with or without notice, even where a change affects the value of miles already accumulated. [6]
Frequently asked questions
How far in advance can you book a flight?
The outer limit comes from the airline's published schedule plus the life of the ticket. On American Airlines an unused ticket must be used to start travel within one year of the date it was first issued. [2]
Will an airline honour a flight booked months ahead?
American states that its flight schedule is not guaranteed and is not part of its contract, and that it is not liable if it changes the schedule of any flight. [2] United award tickets are valid only to destinations served both at issue and at departure. [6]
Can you get a full refund on a booking made at short notice?
American's 24-hour full-refund right applies where the ticket was booked at least seven days before departure and the trip is cancelled within 24 hours of purchase. [2]
When does online check-in open on American Airlines?
Check-in on aa.com and in the American app opens 24 hours before departure, and most cities require passengers to be checked in at least 45 minutes before domestic departures and 60 minutes before international ones. [2]
Can you hold a reservation while you decide?
American lists holding reservations to secure upgrades, block seats or obtain lower fares as a prohibited booking practice. [2]
