FREQUENT FLYER GLOSSARY
What is a cancellation deadline?
A cancellation deadline is the last point in time at which a traveller can cancel a booked flight, hotel stay or car rental and still avoid the penalty that the booking’s own terms attach to a late cancellation or to a no-show. The cut-off is not a single house rule kept by an airline or hotel brand: it comes from the fare rule of the ticket or the rate rule of the stay that was actually sold, and that rule is what is applied when the traveller asks to cancel. [7]

Key takeaways
- A cancellation deadline belongs to the individual booking, not to the brand: when an airline award is cancelled or returned, United Airlines’ MileagePlus Rules look to the programme rules and the ticketed fare rules at that time. [7]
- Staying inside a cancellation window does not make the cancellation free of charges — the MileagePlus Rules say a service charge may be imposed for each change or cancellation a member requests after an award ticket or other award has been issued. [7]
- On an award stay, the deadline can be tied to the points expiry date rather than to a time of day: Marriott Bonvoy says an award cancelled after the applicable Points expiration date costs the member the points used for it if that date has not been extended. [3]
What does a cancellation deadline decide?
A deadline does two jobs at once. It fixes a moment, after which the traveller can no longer walk away from the booking on the original terms, and it fixes who carries the cost of a change of plan. Before the deadline a cancellation normally releases the traveller from the booking on the terms of the product bought — a refund, a travel credit, or the return of points and miles. After it, the supplier may charge a penalty, keep a prepayment, or refuse a refund altogether.
A booking that is neither used nor cancelled before the deadline turns into a no-show, which is a separate outcome with its own consequences: the traveller may be charged for a night or a seat that was never occupied. The no-show entry and the no-show fee entry explain how that charge works; the point to hold on to here is that a no-show is what happens when the deadline passes without any action.
A deadline is also not the same thing as a refund right. A non-refundable fare or rate is sold on the basis that cancelling it returns no money, and some products carry no cancellation right at all. Whether anything is recoverable is a question the fare rule or rate rule answers — the calendar only says when the traveller had to act. The sequence of cancelling, claiming and being paid is set out in the booking platform cancellation and refund guide.
Who sets the cancellation deadline on a booking?
The governing document depends on the product. On a flight it is the fare rule attached to the ticket; on a hotel stay it is the rate rule attached to the reservation; on a rental it is the rental agreement. Because those rules are written per product rather than per company, two travellers on the same flight can hold different deadlines, and a flexible rate and a prepaid rate at the same property can fall on opposite sides of the same date. The terms shown when the booking was made are where the cut-off, the time of day it refers to and the penalty that follows it are stated.
For loyalty bookings there is a second layer, because the programme’s own rules sit on top of the fare rule. United Airlines publishes its MileagePlus Rules on united.com and treats that version as the final authority, superseding prior or conflicting versions. [7] Those Rules say that after an award ticket or other award has been issued, a service charge may be imposed for each change or cancellation the member requests. [7] They also say that awards for travel are subject to the carrier’s ticket terms and re-accommodation policies, which is why the same programme can produce different cancellation outcomes on different awards. [7]
Hotel programmes work the same way in principle, but the rules that matter most are often about the points rather than about the room. Marriott Bonvoy’s Loyalty Program Terms & Conditions, updated October 2026, treat the points expiry date as part of the cancellation picture rather than the check-in clock. [3]
How does a cancellation deadline work on an award booking?
On an award stay there are two deadlines to watch: the date by which the property must be told, and the date by which the points being returned are still usable. Marriott Bonvoy states that an award redeemed before the member’s points were forfeited remains valid unless it is cancelled after the applicable Points expiration date. [3] If the award is cancelled after that date and the member has not completed Qualifying Activity to extend it, the points used for the award expire. [3] Bonvoy requires Qualifying Activity at least once every 24 months to retain accumulated Points, Awards and other benefits [3], so a cancellation made near that boundary can convert a points refund into a points loss.
On the airline side, the return of miles follows the programme rules and the ticketed fare rules in force at the time of cancellation. United’s MileagePlus Rules say that when an award is redeemed and then cancelled or returned in line with those rules, the miles taken for it are redeposited into the member’s account, subject to a service charge. [7] The same Rules add that some awards are not eligible for a redeposit of miles and will say so, which means the cancellation is allowed but the miles are not coming back. [7] The stay-side detail is covered in the hotel award booking cancellation policy.
Exceptions and limits
- Window open, money still due. Under the MileagePlus Rules a service charge may apply to each change or cancellation a member requests after an award ticket or other award has been issued, so meeting the deadline is not the same as cancelling free. [7]
- Cancellable but not refundable in miles. United says some awards are not eligible for redeposit of miles and will state this on the award itself; for those awards the deadline governs whether the booking can be released, not whether the miles return. [7]
- Already-issued awards survive the points clock. Marriott Bonvoy keeps an award valid after the points expiry date unless the member cancels it after that date without having extended the date through Qualifying Activity. [3]
- Deadline never reached, benefit still lost. Bonvoy says that if a participating property or brand leaves the programme, awards, promotions and special offers are no longer valid after the exit date, even where the reservation was booked before that date. [3]
- No right, no window. Some products are sold without any cancellation right, and then there is no deadline to meet because there is no cancellation to make. Consumer law in the traveller’s own market can add protections that the booking terms do not create, and where it does, the statutory right governs.
Frequently asked questions
Does cancelling a United award ticket return the miles?
Where the award is cancelled or returned in line with the MileagePlus Rules and the ticketed fare rules at the time, the miles are redeposited into the member’s account, subject to a service charge. [7] Some awards are not eligible for a redeposit and will state so. [7]
Can I cancel a Marriott Bonvoy award after my points have expired?
An award redeemed before the points were forfeited stays valid unless it is cancelled after the applicable Points expiration date. [3] If it is cancelled after that date and the member has not completed Qualifying Activity to extend it, the points used for the award expire. [3]
Who decides how late I can cancel?
The fare rule of the ticket or the rate rule of the stay decides, which is why the same airline or hotel can apply different cut-offs to different bookings. [7] On award bookings the programme’s own rules apply on top of those fare rules. [7]
