FREQUENT FLYER GLOSSARY

What is an upgrade clearance window?

Upgrade clearance window is the period before a flight's scheduled departure in which a frequent flyer programme decides which members move up from their booked cabin, or clears members waiting for an upgrade. Its start is set by the programme and normally varies by elite tier, so two members holding reservations on the same flight can learn the outcome days apart. Delta Air Lines, for example, lists unlimited complimentary upgrades for Platinum, Gold and Silver Medallion members and describes Diamond Medallion as carrying the highest complimentary upgrade priority among its tiers. Key takeaways

  • A clearance window is a timing rule, not a ranking rule: it fixes when a member's request starts being considered, while priority order decides between the members being considered at that moment. Delta, for instance, ranks Diamond Medallion above its other tiers for complimentary upgrade priority. [3]
  • Windows differ by tier, and Delta lists unlimited complimentary upgrades for Platinum, Gold and Silver Medallion while describing Diamond Medallion as having the highest priority. [3]
  • United Airlines judges Premier benefits, upgrade benefits included, on a member's status at the time of travel rather than when the trip was booked. [6]
  • Upgrades are not automatic on every ticket: United's programme rules exclude several fares and ticket types. [6]

What does a clearance window control?

An upgrade is usually requested long before it can be granted. The member asks to be considered, and the decision waits until the flight is close enough for the airline to judge how many seats in the premium cabin will actually go spare. The clearance window is the stretch in which that judgement happens: it fixes the earliest moment at which a request becomes live, and it runs until the flight is dispatched or the cabin fills.

Because the window is counted back from scheduled departure, it is expressed as hours or days before the flight rather than as a fixed calendar date. Two departures at different times of day therefore open their windows at different times under the same programme. Higher tiers generally become live earlier, which is why the same seat can be offered to one member midweek and to another on the morning of departure.

Delta's Medallion programme sets the pattern out plainly: Platinum, Gold and Silver Medallion each list unlimited complimentary upgrades, and Diamond Medallion is described as having the highest complimentary upgrade priority among the tiers. [3] United's rules approach the same idea from the other end, stating that Premier benefits — upgrade benefits among them — are based on the member's Premier status at the time of travel, not at the time the trip was purchased, booked or reserved. [6]

Why do two members clear days apart?

The difference usually comes from four places.

Tier start times. Where a programme opens its window tier by tier, the gap is written into the rules. Delta describes Diamond Medallion as carrying the highest complimentary upgrade priority among its tiers. [3]

Position inside one pass. Members who become live at the same moment still queue in a published order. Delta lists unlimited complimentary upgrades for Platinum, Gold and Silver Medallion alike, [3] so those tiers sit in the pool together even though Diamond ranks above them.

The instrument used. A complimentary upgrade, a mileage upgrade and an upgrade certificate can run on separate tracks with separate timing, as the next section explains.

The fare and ticket type. Eligibility comes first. United's rules state that upgrades are not allowed on some fares and tickets, including special promotional accommodations, rentals, industry discounts, consolidation tickets, group rates and special promotional rates such as PassPlus. [6] A member on an excluded fare never reaches the window at all.

Card membership works indirectly. United's status-match terms note that eligible United Chase cardmembers earn Premier qualifying points (PQP) on card purchases, and that those points count towards the PQP requirement of that offer. [7] United has awarded Premier status through PQP and Premier qualifying flights (PQF) since 1 January 2020, [6] and Premier status in turn governs upgrade benefits at the time of travel. [6] So a card can shorten the wait, but through the tier it helps a member reach, not through a separate cardholder window.

Do mileage and certificate upgrades share the window?

No, and programmes describe them differently. A complimentary upgrade is a status benefit. A mileage or certificate upgrade is a separate product, and its timing can be set independently of the complimentary upgrade track.

United's MileagePlus rules list seat upgrades alongside awards and certificates as items that may be subject to departure taxes, federal inspection fees, passenger facility charges and other charges, with the person using the upgrade paying them. [6] Its terms for the 2026 Premier Status Match Challenge, open to applications submitted between 8 January and 21 December 2026, treat MileagePlus Upgrade Award co-pays as eligible spending for PQP. [7] That co-pay is a clean marker of the difference: Delta's complimentary upgrades are presented as a tier benefit with no such transaction attached. [3]

United also runs a separate upgrade currency. Members who meet the requirements for Premier Platinum through that challenge receive 20 PlusPoints, and members reaching Premier 1K receive 100. [7]

The practical consequence: how early a member's complimentary upgrade is reviewed is no guide to when a mileage, certificate or Points-based upgrade will be handled.

What happens to the window when a flight is delayed, retimed or changed?

Because the window is counted back from scheduled departure, a retimed flight carries its window with it: the processing point shifts by the same amount as the departure. Moving to a different flight is different in kind — the member joins that flight's queue, with its own window and its own set of competing requests. If the premium cabin fills, the window can close before its nominal end, because there is nothing left to hand out.

A programme also has to choose which moment's status it uses, and the answer is not the same for every benefit on the same booking. United bases Premier benefits, upgrade benefits included, on status at the time of travel. [6] It also ties benefits to the member actually flying: where a companion has received Premier benefits because of a member's status, and that member is no longer travelling on the original reservation, the companion stops being eligible for those benefits on it. [6] American Airlines takes the higher of a member's status at ticketing and at check-in for free checked bags, and asks members whose status was higher at ticketing to show the ticket receipt to an airport agent. [1]

Exceptions and limits

  • Excluded fares. United bars upgrades on some fares and tickets, including special promotional accommodations, rentals, industry discounts, consolidation tickets, group rates and special promotional rates such as PassPlus. [6]
  • Earnings after a clearance. United credits class-of-service bonus miles and PQP according to the fare paid rather than the cabin flown, and does not credit them on any upgrade. [6] Delta does not award MQDs for complimentary access to Delta One, Delta Premium Select, Delta First, Delta Comfort and Preferred Seats. [3]
  • Costs attached to award upgrades. Seat upgrades can attract departure taxes, inspection fees and passenger facility charges at United, payable by the person using them. [6]
  • Rules can move. United reserves the right to change MileagePlus rules, benefits and conditions of participation, in whole or in part, at any time and with or without notice. [6] Windows set under those rules can therefore shift between bookings.
  • One programme at a time. A clearance window is a rule of the programme that publishes it; a tier position in one programme does not carry a clearance time into another. See elite status for how tier levels themselves are earned.

Frequently asked questions

Does the clearance window decide who gets the upgrade?

No. The window fixes when a request starts being considered, while priority order decides between members under consideration at the same moment. Delta describes its Diamond Medallion tier as having the highest complimentary upgrade priority among Medallion tiers. [3]

Is my upgrade judged on my status when I booked or when I fly?

At United, Premier benefits including upgrade benefits are based on the member's status at the time of travel, not at the time the trip was purchased, booked or reserved. [6]

Can any ticket be upgraded?

No. United's rules state that upgrades are not allowed on some fares and tickets, including special promotional accommodations, rentals, industry discounts, consolidation tickets, group rates and special promotional rates such as PassPlus. [6]

Do I earn miles in the higher cabin once an upgrade clears?

At United, class-of-service bonus miles and PQP are credited according to the fare paid, not the cabin flown, and are not credited on any upgrade. [6] Delta does not award MQDs for complimentary access to Delta One, Delta Premium Select, Delta First, Delta Comfort and Preferred Seats. [3]

Do mileage upgrades clear in the same window as complimentary upgrades?

They are separate products. United's rules treat seat upgrades as awards that can carry taxes and fees, [6] and its status-match terms refer to MileagePlus Upgrade Award co-pays, [7] while Delta's complimentary upgrades are listed as a tier benefit.
